How it works

U.S. Embassy Tokyo: Surplus Property Web-Based Electronic Auction

The U.S. Embassy in Tokyo conducts the sale of surplus property through a secure, web-based electronic auction platform. Each auction is scheduled for a specific period, with clearly defined start and end dates. This information is prominently displayed on the information panel within the auction web application. Typically, auctions are activated from Monday to Friday and may last between one and two weeks.

Participation and Bidding Process:

  • During the active auction period, registered users may participate and submit bids for available surplus property.
  • Each item listed for auction will specify the maximum number of bids allowed per participant.
  • Bids must be placed in the local currency (Japanese Yen).
  • You may increase your bid on an item, provided you do not exceed the maximum number of bids allowed.
  • It is your responsibility to monitor the auction and your bids, as prices may change rapidly due to competing offers.

Important Terms and Conditions:

  • All items are sold strictly on an “AS IS, WHERE IS” basis. The U.S. Embassy Tokyo does not provide any warranty, guarantee, or after-sale support for items purchased through the auction.
  • No exchanges, returns, or refunds will be permitted under any circumstances.
  • Shipment and removal of purchased items are solely the responsibility of the buyer. The Embassy does not provide shipping or delivery services.
  • On-site inspections are not permitted. Bidders must rely exclusively on the images and descriptions provided in the auction listing to assess the condition of items.
  • Before placing a bid, all participants are strongly encouraged to thoroughly review the auction platform’s terms and conditions of sale, as well as the “Operation Guidelines” section.

Notification of Winners:

  • Successful bidders will receive an email notification containing a secure link to the auction application.
  • After logging in, winners can review the details of their purchased items and proceed with the necessary next steps.

How to pay for your items

Payment for your items can only be made online via https://www.pay.gov.

Instructions regarding the payment method will be emailed to winning bidders after the auction has closed.

    How to pick-up your items

    To retrieve your items, you must present the receipt from your online payment transaction via pay.gov, including all required details. Any paid items not picked up during the scheduled time frame will be disposed of, and retrieval will not be possible. In special cases or circumstances, you may arrange an alternative pick-up date and time by contacting the auction manager.

    After successful confirmation of payment, our staff will move your items to the front of the storage building. From that point, you are considered the owner of the merchandise and are fully responsible for all subsequent handling and removal from Embassy property in a timely manner. Items not removed promptly may be considered abandoned and disposed of.

    For U.S. Embassy Tokyo auction sales of surplus items, special pick-up instructions—including location, time, and any other arrangements—will be provided to the winning bidder. All items are sold in “as is” condition.
